Medication samples – Solution at a glance

The automated process we provide is customised to the needs of each individual customer and guarantees maximum safety and transparency. We continuously stock a quantity of samples for doctors provided by customers, or produced by us, in line with GMP guidelines. If a healthcare provider orders a shipment of a medical sample by fax or phone, the response is recorded and checked in the fully-automated SAP system. In order to guarantee compliance with legal requirements (in this case the requirements specified in Article 47 Section 4 of the German Medical Preparations Act (AMG)) the system automatically queries each individual criterion before providing the medication. No manual input is required at all.

The next step is to check whether the service provider is registered in the system and has already received sample medications of the particular product from the manufacturer concerned. If this is the case, the system determines whether the service provider has received fewer than two samples of the requested medication in the specified time period. The sample medication is packaged, labelled and shipped only after this confirmation has been received and the check has determined that all requirements have been met.

Furthermore, if medications require cooling, the cooling chain is recorded along the entire distribution path. More detailed information you find here:
Cold Chain Management

This guarantees comprehensive documentation and archiving of all steps and flows of information during the entire process of quantity control and distribution of samples for doctors.

The customer benefits from considerable cost savings, because all manual input and monitoring are avoided due to the fully-automated SAP system. Detailed reporting is available to the pharmaceuticals company at all times. The danger of illegally exceeding the quantity limits due to inadequate monitoring is excluded.
The automatic allocation system can also be integrated perfectly into any supply chain concept for each and every concept.
