Certified processes
The processes established by arvato meet the strict requirements of the Sarbanes Oxley Act and the SAS 70 guidelines and have undergone several external Sarbanes Oxley audits.
In addition, arvato has been PCI-certified for two years and is listed as a certified payment service provider on the official website of Visa.
This means that both the system environment and the processes defined jointly with the customer meet the stringent requirements of the credit card companies. arvato services healthcare enjoys top classification as a “Payment Service Provider Level 1,” meaning it must fulfill the highest standards and pass the most extensive tests.
Credit management
The credit management offered by arvato services healthcare encompasses invoicing, posting of incoming payments, account maintenance, clarifications with customers and banks, dunning and month-end reporting for customers. Invoicing services are performed on behalf of the customer and in the customer’s name. Invoices feature the customer’s required official information and a layout and content that are coordinated individually with the customer.
Optimal integration with international banks
arvato services healthcare already works with numerous international banks on behalf of its customers. Our customers maintain their dedicated bank accounts at international institutions in the following currencies: EUR, USD, GBP, CHF, NOK, SEK, DKK, ZAR. Integration with the various banks is achieved using MultiCash in some cases or the online banking tool of the respective bank. arvato currently manages and posts to over 70 bank accounts in the various currencies for its customers. Linked banks include Commerzbank, Citibank, Bank of Ireland, Bank of America, ABN, Fortis and RZB.
arvato services healthcare offers customers all standard payment methods, including credit card (Visa, MasterCard, AMEX), electronic funds transfer, direct debit, check and COD. Customers can select the methods they wish to have implemented for their business. Amounts are allocated to the open items in the account receivable and posted to the general ledger as well.
Dunning
Overdue and unpaid invoices and return direct debits are dunned in a (typically three-phase) procedure coordinated with the client. There is normally one dunning run each week, but other intervals are possible to accommodate high volumes or special customer requests. Dunning notices are sent by letter to the respective customers. The exact dunning procedure and the layout and content of the dunning notices are coordinated with the customer.
After the dunning process, delivery blocks can be assigned to customers in arrears so that no further deliveries go out until the outstanding items are paid. arvato services healthcare will also manage credit limits for its customers upon request. Credit limits are stored in the SAP customer master and prevent deliveries to end customers beyond their allowed credit.
Constant reporting
Various reports are created and provided to the customer at month’s end. The accounting month can also be adapted to customer specifications so that it conforms to the customer’s own accounting periods. The subledger is used for revenue and tax reports, accounts receivable aging lists, cash discount reports (if applicable) and a reconciliation of general ledger account balances. Additional reports can be implemented in the IT system upon request.

Beyond credit management services, arvato services healthcare offers other financial services together with other companies of the arvato services Group. The service portfolio includes address management, creditworthiness checks, marketing and risk scoring, collections and accounts receivable purchasing/factoring.
